Photocopier and Printer

Using the Xerox Photocopier

When not in use the printer goes to low power setting and the button at top right glows GREEN. Press this button to turn on display.

PRESS ‘Home‘ button (top left) and then select ‘Copy’ on screen

You will see the above copy options screen

Insert your originals in document feeder (face up) or lift feeder and put on glass (face down).

The default options are for 1 copy of document with automatic selection of black and white or colour, depending on whether the original has any colour content , at full size (100%).

All these options can be changed from the touchscreen. Click the Yellow ‘AC’ button if you want to clear settings back to default and start again.

1. Use the alphanumeric keypad on the control panel to enter the number of copies. The number of copies appears in the upper right corner of the touch screen.

Note: To correct the number of copies entered using the alphanumeric keypad, press the C button, then re-enter the number.

2. Change the copy settings as needed. For details, see Copier manual for full details

3. Press the green Start button.

Notes:

  • To pause or cancel a copy job, press the red Stop button on the control panel.
  • To interrupt a copy job, press the Interrupt button on the control panel.
  • On the touch screen, touch Resume Scanning to continue the job, or Cancel Scanning to cancel the job completely.

Customer Login Procedure

Login Screen

When user goes to PC they will see a Login Screen asking for their library card number and PIN – no session can be started without these being entered.

Acceptable Use

When these have been entered press ‘Login’ button. A new ‘Acceptable Use’ screen will appear.

Countdown Timer

The Desktop screen will appear and in the bottom right hand corner the user will be able to see a countdown timer showing how much time they have left (initially 2 hours maximum).

Hide Timer

The user can right click on the countdown to hide it , but it will automatically re-appear approx 10 mins before the session is due to end as a reminder.

The first hour of use is free of charge, time after that is charged at the current rate – shown on sheet beside the PC.

When the countdown timer gets to zero the session will be terminated and the PC will be automatically re-started.

If you need more time you must ask one of the volunteers to arrange it (they need to phone Harrogate library) a minimum of 15 minutes before your session is due to end.

Before the session ends be sure to save any data that you are working on to your own media, such as:

  • USB Memory Stick
  • Recordable CD
  • Microsoft SkyDrive Storage
  • Google Drive Storage

As all your private data will be erased from the PC when it re-starts.

If the data is important we would advise doing this at regular intervals during your session to avoid its loss in case of power failure, PC failure etc.

Customer Logoff Procedure

The user can logoff and finish their session (having saved any files they require) by either right clicking on the countdown timer and selecting the ‘End session’ option or clicking on the Windows Icon at the bottom left of the desktop and selecting ‘Log off’ option.

Printing Procedure

Users can select Black and White or Colour Printer. Printout is picked up at the volunteers desk.

Shortcuts on Desktop

Some additional shortcuts have been added:

  • Microsoft Publisher
  • Microsoft Powerpoint
  • Ancestory.com! Findmypast.com
  • Library Catalogue (New Version)

NB. Additional shortcuts are still being discussed so there may be more when the system is delivered. This document will be updated to reflect these changes.

Scanning Software

The scanning software is now easier to use.

Click on ‘HP Scanning’ on desktop gives you a choice of what you wish to do with your scan.

NB. The scan to E-mail options cannot be used. To do this choose scan to PDF or Scan to JPG and then attach the PDF or JPG file to an E-mail in the usual way.

Clicking on ‘Scan’ shows you preview of scan and option to select part of document, colour or black and white etc.

Click ‘Finish’

Scan is completed and sent to the destination selected.
